1. Who handles your information
The business that operates each salon, as listed above, handles the personal information of guests who use that salon.
2. Information we collect
- When you book: your name, phone number, email address, any requests, and the date, time and treatment you choose
- When you visit: what you write on the counseling sheet, which may include health information such as your physical condition or skin condition
- When you sign a contract (monthly plans or prepaid packages): your name, address, phone number, email address, date of birth, contract details, and a record of your consent and signature
- Photos: before-and-after photos are taken and stored only if you give separate consent on the counseling sheet
- Payment: card payments are processed by Square. We never receive or store your card number
- When you use our website: cookies, your device and browser type, the pages you view, and which page or site you came from (including records of ad clicks)
3. How we use it
- To accept your booking and contact you about confirmations, changes and cancellations
- To send a reminder the day before your visit and a thank-you message after your visit (including an invitation to book again)
- To provide treatments and keep counseling records
- To handle contracts, provide contract documents, and process payments for monthly plans and packages
- To send before-and-after photo comparisons to guests who request them
- To answer your inquiries
- To improve our services and measure the performance of our website and ads
- To comply with the law
Health information is collected only with your consent and used only for your treatment and counseling records.
4. Sharing with third parties
We do not share your personal information with third parties unless you consent or the law requires it.
5. Service providers
We use the following service providers. We give them only what they need and require them to protect it. Some of them handle information outside Japan (for example, in the United States).
- Booking management: Kanzashi Inc.
- Email and data storage: Google
- Card payments: Square
- LINE messaging and booking: LY Corporation
- AI analysis of photos (only for guests who give separate consent): Anthropic (United States). We send before-and-after photos to create comments. Your photos are not used to train the AI. Facial feature measurements are calculated on the device in the salon
- Server hosting: a rental server company in Japan
Bookings made through Hot Pepper Beauty or Ikyu.com are also handled under the privacy policy of each service.
6. Cookies, analytics and ads
Our website uses Google Analytics, Google Ads and Meta (Facebook and Instagram) advertising tools to understand how the site is used and to measure ad performance. These tools collect information that does not identify you personally, using cookies and similar technologies. You can opt out here:
7. How long we keep it
- Booking information: your name and contact details are deleted 3 years after your last booking
- Counseling records: deleted 3 years after your last visit
- Photos: deleted 3 years after your last visit, in the same way as counseling records. Backup copies of deleted photos are removed from the server automatically after 30 days
- Contracts: kept for 10 years after the contract ends, then deleted (including your name, address, contact details, date of birth, and signature record)
If you unsubscribe from our emails, we keep a record in a form that cannot be turned back into your email address, so that we do not email you again.
8. Security
We limit who can access your information, encrypt communications, and keep backups encrypted.
9. Your requests
If you would like to see, correct, delete or stop the use of your information, please contact us below. We will confirm your identity and respond promptly, free of charge.
You can stop our thank-you and follow-up emails at any time using the link at the end of each email.
